Terms

Version 4 · Last updated 7 November 2026

These terms are an agreement between you and MuteNote, made and run by Samuel Mbugua, Nairobi, Kenya (“we”; [email protected]), for using the MuteNote app, its notes service and the website. By using MuteNote you agree to them. You must be 18 or older to use MuteNote.

What MuteNote is

MuteNote records calls on your laptop, transcribes them on your laptop (or on our service, on a paid plan with meetings kept on your account), and writes notes with the AI you choose. How your data is handled is set out in the Privacy policy.

Using the app

We give you a personal, non-transferable licence to install and use MuteNote and its services under these terms. The app, its name, its design and its code are ours or our licensors’; don’t copy, resell or take them apart beyond what the law allows. Keep your sign-in to yourself: anything done with your account is on you until you tell us it was taken, and “Sign out everywhere” under Settings, Account closes every session.

Recording people lawfully

You must follow the recording and privacy laws that apply to you and the people on your calls. In many places that means getting everyone’s consent before recording. Don’t use MuteNote to record anyone secretly or unlawfully. Recording happens on your laptop and under your control: we don’t see, choose or approve what you record, so you alone are responsible for each recording and for how you use it.

Plans, hours and payment

Early access

During early access, free accounts may get some hours of notes written by MuteNote. That allowance can change or end.

AI-written notes

Notes are written by an AI model and can be wrong or miss things. Check anything important against the recording, which MuteNote links to for each point. Notes are not legal, medical, financial or other professional advice, and you rely on them at your own risk.

Your recordings and other services

Recordings, transcripts and notes are stored on your laptop, or in your browser in the web version. Keep your own backups: we can’t recover files that are lost, deleted or damaged on your device. If you choose to use your own AI provider, that provider’s terms apply to what you send it, and we aren’t responsible for its service.

You can choose to keep your meetings on your MuteNote account (the web version starts that way at your first sign-in and lets you switch it off; the desktop app starts on your laptop). If you do, we store the text of each meeting (the transcript, the notes with their actions, your marks) on our servers, and the recordings too if you turn that on, and show them to you, signed in, from any device. We take reasonable care of it, keep it only for you, and never use it to train AI models. You can take it off the account, meeting by meeting or all at once with a receipt, or by deleting your account; deletion is final and we can’t restore what you delete. We’re not a backup service: keep copies of anything you can’t afford to lose. If we ever have to stop the service, we’ll give you at least 30 days to take your meetings off the account.

Your content

Your recordings, transcripts and notes are yours. We don’t claim any rights in them and don’t use them to train AI models. Where you ask us to handle them (writing notes, keeping meetings on your account, sending a recap or a reminder), you give us permission to do just that, and nothing more.

Fair use

Don’t try to break, overload or get around the limits of the service, resell it, or use it for anything unlawful. We may suspend accounts that do.

Reporting misuse, and requests from the authorities

If you believe someone is using MuteNote to record people unlawfully or to harm anyone, especially a child, email [email protected]. If someone may be in danger, contact the police first. We read every report, and we may suspend the account involved.

Recordings, transcripts and notes stay on the recorder’s own device, or in their own Google Drive if they turned that on, unless the person chose to keep meetings on their MuteNote account. When the police or a court asks us lawfully, we share what we hold about an account: its email address, when it signed in and used MuteNote, hours of notes used, any problem reports it sent, payment records (Paddle holds the payment details), and, only if they chose to keep meetings on the account, those meetings as kept there. We tell the account holder when the law lets us.

No warranty, and limits on liability

MuteNote is provided “as is”. We work hard to keep it reliable, but we can’t promise every recording or set of notes will be perfect. To the extent the law allows, we aren’t liable for indirect or consequential losses, and our total liability is limited to what you paid us in the 12 months before the claim. If you use MuteNote for free, our total liability is limited to USD 10. We aren’t responsible for delays or failures caused by events outside our reasonable control, such as outages at our providers, internet failures or natural disasters. Nothing here limits liability that can’t legally be limited, such as for fraud, or rights you have under consumer law that can’t be excluded.

Your responsibility to us

To the extent the law allows, you agree to cover us (indemnify us) for any claims, losses, fines and reasonable legal costs that arise because you recorded someone without the consent or notice the law requires, used MuteNote unlawfully, or broke these terms.

Ending this agreement

You can stop using MuteNote and delete your account at any time. We may end or suspend your access if you seriously break these terms; if we end a paid plan without cause, we’ll refund the unused part.

The service may change

We add, change and sometimes remove features, and the service can be interrupted for maintenance or by failures. We’ll give notice of changes that take something away from a paid plan, and the refund rule above applies if we end one.

Changes and law

We may update these terms. When we do, their version and date at the top change, “What changed” below says what’s different, and everyone with a MuteNote account gets an email listing the changes. These terms are governed by the laws of Kenya, and disputes go to the courts there, except where consumer law gives you the right to use your local courts.

What changed

Earlier versions are available on request: email [email protected].
